Who we are
This policy explains how Vertessa collects, uses and protects personal information through www.vertessa.com and when you contact us. It applies under Québec's Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Vertessa, 4-3778, rue Ontario Est, Montréal (Québec) H1W 1S2, Canada.
Person in charge of the protection of personal information: Simon Marchand, CFE. Contact him at contact@vertessa.com, with "Privacy" in the subject line, or by mail at the address above.
This policy covers the website and our business contacts. Information we receive from clients during an engagement, such as case files for an expert report, is governed by the confidentiality terms of that engagement.
What we collect and why
We collect only what we need to answer you and to understand how the website is used. We do not sell personal information and do not use it for profiling or automated decisions.
| Source | Information | Purpose | Basis |
|---|---|---|---|
| Contact form | First and last name, work email, company, service of interest, your message | To answer your request and, if you wish, discuss an engagement | Your consent, given with the checkbox on the form |
| Email or phone | What you choose to send us | To answer you and manage our business relationship | Your consent, implied by contacting us |
| Website analytics (Google Analytics 4) | Pages viewed, approximate location (country or city), device and browser type, how you arrived on the site | To measure visits and improve the site | Your consent through the cookie banner; analytics cookies stay off until you accept |
| HubSpot cookies | A visitor identifier that links page views to a form you submit | To know which pages a person who contacts us has read | Your consent through the cookie banner |
Cookies that are strictly necessary for the site to work are always active. You can change your cookie choices at any time through the cookie settings link in the footer.
If you do not give the information in the required form fields, we cannot answer your request through the form; you can still email us.
Service providers and storage outside Québec
We use three service providers. Each processes information only on our behalf, under a contract that requires it to protect that information. Our website and contact records are hosted in Montréal and our email in Canada. Google Analytics stores website statistics in the United States and other countries where Google has data centres. Before using any provider that may store information outside Québec, we assessed whether that information is adequately protected.
| Provider | Use | Where the information may be stored |
|---|---|---|
| HubSpot, Inc. | Website hosting, contact form, contact records | Canada (Montréal, Québec) |
| Microsoft (Microsoft 365) | Email at contact@vertessa.com | Canada |
| Google LLC (Google Analytics 4) | Website statistics | United States |
In Google Analytics, we have turned off sharing of our data with Google for its own purposes, and we do not use Google signals or advertising features. We do not disclose your personal information to anyone else, unless the law requires it.
How long we keep it, how we protect it, and your rights
Retention. We keep messages and contact records for up to 3 years after our last exchange, unless an engagement requires longer. Analytics data is kept for 14 months, the Google Analytics setting. We then delete or anonymize it.
Security. Access is limited to the person in charge of personal information. Accounts are protected by multi-factor authentication, and data is encrypted in transit. If a confidentiality incident presents a risk of serious injury, we will notify you and the Commission d'accès à l'information, as the law requires.
Your rights. You can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct information that is inaccurate or incomplete;
- stop using it or delete it, and withdraw your consent at any time;
- stop disseminating it, or receive it in a structured, commonly used technological format.
Send your request to contact@vertessa.com. We answer within 30 days, free of charge.
Complaints. If you are not satisfied with our answer, you can contact the Commission d'accès à l'information du Québec (cai.gouv.qc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Changes. We publish any change to this policy on this page with its new date, and announce significant changes on the website.
